How to add or edit the metadata for existing documents by uploading a CSV file

It is possible to add or edit the metadata of existing documents by uploading a CSV file.

To make this process easier and to have the ID of the documents to add or edit the metadata for them, you can:

  1. Go to the Administration app.
  2. Click Form entries access.
  3. Select the form that is attached to the files for which you need to update the metadata.
  4. Click the Export to .xls button and save the XLSX file to your local machine.
  5. Add or edit the desired metadata in the exported file.
    Important:
    • For the Choice field, you need two columns: one for the Name and one for the Description.

      The Description column of the Choice field is present in the exported XLSX file.

    • For the Relation field, you also need two columns: one for the Name and one for the Description.

      The Description column of the Relation field should be added manually in the CSV file. The Description for the Relation item can be found in the Name column after the comma. In the Relation field, it is required to have only the path to the chosen item (without description and comma).

    Also, when uploading a CSV file, there are multiple variations for the date field:

    We support multiple variations for date field:

    • yyyy-MM-dd
    • yyyy/MM/dd
    • dd-MM-yyyy
    • dd/MM/yyyy
  6. Save the XLSX file as a UTF-8-format CSV file.
    Note: Make sure that the data is formatted correctly in the CSV file in order for the system to process the data correctly.
  7. Go to the Administration app.
  8. Click Form entries access.
  9. Select the form that is attached to the files for which you need to update the metadata.
  10. Click the Upload CSV button.

    The Upload CSV modal appears.

  11. Click the select a csv file... button and choose the CSV file.
  12. Click Next.
  13. A new Upload CSV modal appears.

    Check if the values of the CSV file are mapped with the right values on Bricsys 24/7.

  14. Click the Import button.

    The Repository table action done notification appears.
