Binders
A binder is a folder that contains a specific collection of shared documents. Users can access the shared documents in the binder, without having access to the original folder.
Add documents to a binder
You can add one or more documents to a binder:
- Click Files
in the toolbar.
- Select the binder you want to add the document(s) to.
- Click Add to binder.
The Add items window appears.
- Select the document(s) you want to add to the binder.
- Click Add documents.
A pop up window informs you that the items are added to the binder.
If applicable, click Send notification in the pop up window to inform users by email.
Remove a document from a binder
You can remove one or more documents from a binder:
- Click Files
in the toolbar.
- Select the binder you want to remove the document(s) from.
- Select the document(s) you want to remove from the binder.
- Click Remove from binder.
A pop up window informs you that the items are removed from the binder.
Different ways to use a binder
- Group different types of objects
- You can use a binder to group different kinds of objects that are spread all over the project, for example, to prepare a meeting.
- Give a group of users access rights to a few objects
- You can use a binder to give a group of users access to a few documents. If you give these users (via a roll) access to the binder, they do not need to have access to the original object in the containing folder itself.
- Access to documents with a certain status
- Administrators can edit the binder settings and define that only certain document statuses are shown in the binder.
